Policy Agreement NSAHAMPTONROADS CATEREDEVENTS POLICYAGREEMENT Please initial to acknowledge that you have reviewed all of the information provided within this policy agreement package and accept the outlined regulations. Food/Beverage ____  No outside food or beverage is allowed on premises. Any special requestsmust be approved and noted on contract. If unauthorized food is brought in a $100 feewill be accessed, to be paid the day following the event. EXCEPTION: Wedding and ceremonial cakes may be brought in from outside vendors. ____  All foodMUSTBE CONSUMEDON-SITE . ____  If food & beverageminimumpurchase amount ismet, room fees areWAIVED. ____  Food service on buffets is for amaximumof two hours. Venue / RoomRental ____  Event cancellationsmust be submitted inwriting at least 72 hours prior to the scheduled event date. ____  All deposits areNON-REFUNDABLE. EXCEPTION: Mission essential deployments and duty station changes. InclementWeather ____  Depositsmust be paidwithin three business days of the catering contract initiation.  I have reviewed & accept the NSA deposit/room fee/food & beverage minimums for my requested room. I understand that events are booked in four hour increments. Advance access times will be based on the venue’s paid event schedule upon contract finalization. Event Timeline & Financials ____  All event contracts include a 20%service charge on food and beverage items, which covers the cost of event set- up, break-down and staffing for event. EXCEPTION: Percentagemay vary on some contracts for drop offs or cater outs, depending on level of service/delivery needs. Fees will apply to all off-base deliveries as charges may vary. ____  Finalization of menu selections and guest count must be submitted five days prior to contracted event date  Payment in full is due three business days prior to event. Cash, credit or command/business checks are the only accepted forms of payment. EXCEPTION: Unit Allocation Fund payments. ____  MWR NSA-HR is not responsible for any personal property or items left in banquet facilities. This agreement is between the Sponsor and the Food and Beverage Division of the NSA-HRMWR Department. Execution of this agreement by the Sponsor binds the Sponsor to the policies contained in this agreement and holds the Sponsor liable for the conduct of their guests and payment for goods and services ordered on the Catering Contract. The Catering Contract is an addendum to this agreement that also requires a signature of authorization by the Sponsor.
