Approval for Email Distribution of Association Disclosure Documents

In addition, California law requires Associations to distribute certain documents to owners, including the Annual Budget Report and Annual Policy Statement, which contain items such as the Annual Financial Statement, Reserve Funding Plan, Collections Policy, Alternative Dispute Resolution rights, and other required disclosures. Certain legal notices must also be mailed unless the homeowner has authorized receipt of these documents via email delivery. Please consider authorizing the email distribution of these documents. By doing so, you are not only going green and helping save trees, but also helping reduce the Association’s substantial copying, postage, and supply costs — helping to keep Association expenses and assessments down. Another benefit is immediate delivery. Mailed documents are sent to your official address of record and may be delayed if you live out of state or out of the country, have mail forwarding in place, or are traveling. In addition, all lot owners, spouses, or significant others may receive their own emailed copy. If mailed, documents are sent to only one designated owner. The Association also offers electronic voting for Association elections and membership votes through its approved electronic voting system. Owners who opt-in to electronic communications may also choose to participate in electronic voting, unless they request paper ballots and election materials as permitted by California law.
