A faculty member who arranges for a replacement instructor for his/her class for whatever reason (e.g., substitute instructor, guest lecture, test proctor, etc.) must notify his/her Division Director. Only an individual approved by the Division should be invited to the classroom; this process will ensure that proper credentials, remuneration, and liability concerns are addressed. All full-time faculty absences must be recorded in Kronos. It is a Division Director's responsibility to file any request for payment to a substitute instructor with the Office of the Vice President of Academic Affairs and Student Services. Class Absence for Other Reasons There is an expectation that faculty will meet with their classes as scheduled. If faculty members find it necessary to be absent for any reason other than illness, they must secure approval from their respective Division Director. On the rare occasion that a faculty member must be absent from campus for a professional development opportunity, such as making a conference presentation, a substitute faculty member may be employed to cover the class(es). In this event, the Division Director must approve the request for a substitute teacher, and the Office of the Vice President of Academic Affairs and Student Services must be notified in this regard. Faculty may not schedule medical appointments, vacations, or extended professional development sessions during a time when they are scheduled to teach. College Closings and Inclement Weather The College does everything it can to keep the campus safe and productive during inclement weather. During periods when severe weather is forecasted, HCC officials are in regular contact with weather specialists and county and regional roads departments. Since travel conditions are not the same for all students in the tri-state area, the college policy is to remain open, if possible, for those students who can attend during inclement weather. However, when weather conditions are severe, HCC does close and all classes and campus activities are canceled. When severe weather and other emergencies occur that impact classes or other campus activities, announcements are made on local radio and TV stations, posted on the home page of the HCC website, posted on the official college Facebook and Twitter pages, announced as Everbridge text alerts, and noted on the college switchboard recording. The College treats students and employee tardiness and absences liberally on inclement weather days. Students are not to be penalized if they are unable to make it to class or arrive late. In such cases, students need to contact their faculty members (preferably through email in advance of the scheduled class) indicating that they have special weather-related circumstances that prevent their attendance. Faculty members are encouraged to anticipate possible College closings by preparing student assignments, reading, or work on D2L that can be accomplished off-campus. Faculty use of D2L and email is encouraged during College closings to provide students with information about alternate assignments and, if relevant, rescheduling tests and quizzes.
