About Us

St James School was founded in January 1975. It was inspired by the desire of a number of parents who wanted to offer their own children and the children of future generations a different education to that available at the time. These parents were philosophically inclined and had come to value the importance of an education which provided spiritual enrichment as well as what could be described as the best of a traditional English education; a rigorous education steeped in the classical tradition and offering the best of artistic and academic culture. The aim was that the doors of the school should be open to all children and fees should be kept as low as possible in order to avoid having to turn people away for financial reasons. From September 2019, with the opening of the St James Nursery, the schools now offer an all-through education to pupils from 3 to 18. Across the schools we provide an education for approximately 900 pupils with the ambition of providing an environment in which every human being can truly flourish. Our Senior Girls’ School is located on the same site as our Nursery and Prep School in Kensington, London. We offer state of the art facilities including; an onsite Gymnasium, spacious art rooms, a large purpose built music room with our own grand piano and four science blocks all with the latest equipment. Last year we opened our new modern library which was designed to create a modern learning environment, along with our new Sixth Form Centre that is based in North End Road; five minutes from the main building. The new building has been completed to a very high specification and comprises two study areas, six classrooms, offices for staff, a large common room and an attractive external paved area. This has provided a stylish and contemporary working space for our Sixth Form students and has allowed us to create a new library and an additional science lab within our main school building. We have ambitious plans for the future and continue to make significant investment in our estates and develop them according to the needs of our pupils and teachers.

Registrar (Senior Girls’ School) Job Description

Aims of Post of Responsibility:

• To support and foster the ethos, aims and principles of the School;

• To manage the admissions process in a manner that reflects the strengths and ethos of the School;

• To promote the School and sustain/grow pupil numbers through the highest possible standards of administration and organisation, particularly with feeder schools, prospective parents and their daughters.

Specific Responsibilities as Registrar General • To behave in an appropriate and professional manner at all times; • To manage the admissions process; • To maintain uniform liaison between suppliers and parents; • To create and maintain pupil files.

Child Protection, Discipline, Health and Safety • To promote and safeguard the welfare of pupils;

• To comply with the School’s safeguarding & child protection policy and ensure that any concerns relating to the safety or welfare of children are reported immediately to the Designated Safeguarding Lead (DSL) or the Head; • To prepare statutory returns to Local Authority advising of all leavers/entrants to the school; • To maintain and update the Admissions Register; • To keep up to date with the pastoral care policies of the School and remain sufficiently aware of any personal problems of individual pupils; • To comply with the School’s Code of Conduct; • To read other policies or guidance as and when required to do so by the DSL, Headmistress or other member of the Senior Leadership Team.

Admissions Administration/publicity: • To keep the admissions area of the School’s MIS up to date; • To keep the admissions area of website updated; • To attend regular meetings with the other St James Schools’ registrars to discuss and develop best practice, procedures; • To liaise with the Head and Bursar about projected numbers for the forthcoming year for budgeting purposes, taking into account possible leavers and new pupils; • To update the Parent Pupil Handbook which provides families of confirmed new pupils with up to date information about school life, clubs and activities; • To maintain, review and update computer files, mailboxes and documents as necessary; • To format documents and letters relating to admissions; • To attend webinars/training sessions to keep abreast of changes to procedure for intake into UK independent schools as a result of changes in law. Prospective parents: • To answer all admissions queries, making parents feel valued, comfortable and welcome, sending prospectuses and other promotional booklets as appropriate to interested parties; • To process registrations received from prospective parents (currently moving to online registration process); • To organise and lead tours of the school for late and in-year applicants and their families; • To update, collate and distribute relevant documents to prospective parents and communicate regularly with regards to updates and events. Entrance examinations/interviews: • To collaborate with the other London 11+ Consortium registrars to ensure smooth management of the 11+ assessments and to ensure each applicant has been allocated an exam place; • To liaise with the SENDCO regarding exam access requirements for the 11+ assessment and advise the Events Manager of all such requirements; • To manage one off assessments and interviews for late applications and in-year entry. Open Events: • To liaise with the Marketing Manager and Events Manager about advertising, leaflets, prospectuses and special promotional merchandise for Open Events; • To liaise with the Head, SMT, Marketing Manager and Events Manager about the organisation of Open Events and assessment days;

Feeder Schools: • To liaise with external school heads, PAs, secretaries and registrars; • To obtain reports and records from candidates’ schools; • To represent the school at feeder school events; • To notify candidates and feeder schools of the results of the admissions process; • To maintain and update information about feeder school visits and current heads. Uniform • To liaise with uniform suppliers about the School’s, girls’ and parents’ uniform requirements and suggestions; • To deal with any complaints related to uniform; • To arrange for the uniform supplier to come to the School for current girls to ‘top up’ their uniform and for prospective girls to purchase new uniform (usually once in the Summer Term); • To maintain and update the uniform list and despatch it to current and prospective parents together with the store’s uniform booklet. Working Hours During Term Time • 7.45 am until 4.30pm; • There may be a need to work outside these hours from time to time; • Attendance at Open Events and on Saturday 11+ interview mornings is compulsory. During School Holidays • Reduced working hours operate during school holidays, usually from 9:00am until 4:00pm, subject to workloads being managed within these hours. Holidays • 6 weeks plus bank holidays (to be taken during school holidays).

Other • To attend meetings as appropriate; • To assist at Speech Day with meeting and greeting guests.

Education And Qualifications • A relevant formal qualification that reflects the key duties of the post or previous relevant working experience in a school.

Knowledge • Proven working experience of managing the admissions process in a school.

Competencies, Skills and Abilities Essential • Proven experience working as a Registrar; • Tact and diplomacy to deal with people in a professional manner in all circumstances; • Ability to use discretion at all times; • Ability to prioritise and use own initiative;

• Excellent verbal and written communication skills; • Excellent administrative and organisational skills; • Experience of managing a database; • Excellent attention to detail; • Good ICT skills. Desirable • A further education qualification.
