2025 Annual Meeting

EXECUTIVE SUMMARY This mail-out has been prepared to inform you about the issues that we will discuss at the 6 October 2025 Annual Meeting. These issues include the election of members to the Board of Governors and the Club’s Facilities Master Plan. Furthermore, this mail-out will also serve to update you on the many exciting activities taking place at our Club. At the request of the Club Secretary, Colonel D’Anne Spence, USAF, Ret., and to ensure sufficient ballots are available, if you intend to propose a motion from the floor at the Annual Meeting, please contact the Secretary directly at (703) 835-4108 or by e-mail Danne.emmett.spence@gmail.com, no later than Monday, 29 September 2025. PROCEDURES FOR VOTING IN ABSENTIA As in prior years, Resident and Life members will be able to vote absentee this year. If you will not be able to attend the 6 October 2025 Annual Meeting, or if you simply desire to vote absentee, you will be able to vote electronically or on a printed paper ballot for the election of members to the Board of Governors as in previous years. New this year to the ANCC election process, all Resident and Life Members, with an email on file, will be sent an email with the option to vote electronically, directly from the email, at any time prior to the last call for ballots during the Annual Meeting. The email will clearly outline the procedure if a Resident or Life Member chooses to vote in this manner. Alternatively, until Friday, 3 October at 5:30 p.m., members may visit, call or email the Administrative Office (703-521-6800, Ext. 1201, lien.dao@ancc.org ) and ask that an absentee ballot be sent to you. Finally, if you would prefer to vote at the Club, you may vote in person at the Arlington Administrative Office or Fairfax Lobby on Saturday, 4 October from 9:00 a.m. to 5:30 p.m. or on Monday, 6 October, from 9:00 a.m. to 4:00 p.m. Additionally, as in previous years, Members will be able to vote electronically, in person, following their check-in at the Annual Meeting. Upon check-in during the early voting period or at the Annual Meeting, Members will be offered four options for voting: 1) The initial email sent with the ballot 2) A QR code to use with their smartphones, 3) Online utilizing a unique username and password, or 4) A printed paper ballot like previous years. Survey Ballot Systems (SBS), which runs elections for other clubs in the area, provides validity, independent oversight, security, speed, and accuracy to the balloting process. Utilizing electronic methods will significantly enhance the efficiency of the ANCC annual election while still providing an option to vote via a paper ballot for those Members who choose to do so. Ideally, Members elect to vote via the electronic method to reduce the amount of time to tabulate votes. We look forward to a strong turnout at this year’s annual meeting. BALLOTS
