What I did: Responsible for self-study and certification using IRS curriculum for standards of conduct, site coordination, intake procedures and tax law. Collaborate with program colleagues and community partners to plan and prepare for the tax season, including volunteer recruitment and training, client outreach, and tax preparation services. External contacts involve initiating and maintaining relationships with other organizations within the community on behalf of CAP Services in general and the VITA Program in particular (more than 25% of the time). Some contact with funding sources (that can materially affect the success of the Program) is required. Develop and implement volunteer recruitment activities to meet local demand for services. Support and supervise 10-20 volunteers to conduct program operations including intake, tax preparation, quality review, and administrative support. Ensure complete and accurate volunteer time logs to record in-kind contributions as local grant match. Compile federal and state training materials and adapt as needed to deliver effective training that prepares volunteers for their assigned roles. Develop and implement additional training on auxiliary services (including tax-time savings and financial capability activities) and site procedures. Establish schedule for services and work with assigned staff or partners to book client appointments. Review and revise eligibility screening questions annually for use in appointment scheduling process. Work with CAP communications staff to develop and distribute press releases and social media for purposes of volunteer recruitment, client outreach, and general program promotion. Leverage IRS and partner marketing materials when available and applicable. Ensure compliance with all IRS quality site requirements. Manage use of tax filing software, including set-up of templates and print sets, establishing volunteer access, submitting e-files. Troubleshoot challenges and elevate unresolved issues to the software provider. Ensure all needed equipment is secured and properly set up according to IRS requirements. Ensure that appropriate interpreters are available to assist clients as needed. Submit completed tax returns in a timely manner. Retrieve acknowledgments in tax software daily and address rejected returns as quickly as possible. Maintain complete and confidential tax records, including intake materials and signature documents. Submit timely, complete and concise reports on volunteer activities and tax production as defined by the agency and funding sources. Assist with organization of an appreciation/recognition event after the tax season for volunteers and partners.
