He declared that the Constitution and Statues of Kappa Alpha Psi supersedes all customs in terms of conducting the business of Kappa Alpha Psi. This workshop provided a num- ber of examples, history, information, insight, and knowledge for the office of Polemarch and Vice Polemarch.
Keeper of Records Workshop
Brother Mark A. Gallashaw, Sr. began stating, “The Keeper of Records (KOR) position is by far the most im- portant positions to hold at the national, province and chapter level…basically, you are the Chief Information Officers (CIO) for your chapter and good record keeping is the key to being a successful Keeper of Records.” Keepers of Records have three spe- cific constitutional duties and respon- sibilities: keeping records, conducting correspondence, and signing warrants (checks) for the payment of funds.
of authority in Article XXIX, Section 2 of the Constitution and Statutes of Kappa Alpha Psi, Province Bylaws, Chapter Bylaws and Roberts Rules of Order (in that order of precedence).” Brother Finney stated, “In order to be successful as a polemarch, three things are very im- portant, skills, knowledge and attitude… must be self-motivated, self-confident, enthusiastic, honest and trustworthy.” Brother Finney described the impor- tance of the Polemarch’s toolbox, which includes meeting agenda, Constitution & Statutes, Province Bylaws, Chapter Bylaws, Robert’s Rules of Order, Min- utes, and the Chapter Calendar. Junior Grand Vice Polemarch Brother Evan R. Jackson emphasized that “we all know the job as Polemarch is not easy.” Brother Jackson indicated that “there are always many influences, factors that are always vying to contribute to the way we all do our jobs including our own personal aspirations and beliefs, the way I like to think about each of these influ- ences, is data points.” Brother Jackson emphasized, “At the end of the day, what a polemarch has to do is synthesize these data points and make educated decisions that lead to the success of the chapter.” Additionally, Brother Jackson discussed the nature of the relationship of the Polemarch, the Board of Directors and the chapter
by declaring that “while the Polemarch is the leader, don’t think of yourselves as the top, no one's diamond shines brighter the other and it takes hard work from everyone on the team to be suc- cessful.” Additionally, Brother Jackson dis- cussed some keys to leading a chapter: 1) delegate 2) communicate 3) recognize achievement 4) have patience and 5) know your team…“understand peoples’ strengths and weaknesses.” Brother Freddy Colston, National Registered Parliamentarian emphasized utilization of the newly published 12 th Edition of Robert's Rules of Order. Brother Colston stated, “My job is to advise the presiding officer, commit- tee chairman of Kappa Alpha Psi and other organizations where I serve as the Parliamentarian. “The presiding of- ficer with the gavel in hand must have complete knowledge of Robert's Rules of Order because the presiding officer is the parliamentarian to the body. The job of the presiding officer is to be well versed in Parliamentarian Law,” Brother Colston stated. “I get calls from brothers in various provinces stating, this is how to do it in this province and this is how we do it in that province...there is only one way to conduct business in Kappa Alpha Psi and that is the correct way using Robert's Rules of Order.”
Keeper of Exchequer Workshop
The Keeper of Exchequer (KOE) workshop conducted by Grand Keeper of Records and Exchequer Bass and Brother Greer was well attended, with many questions answered and key areas addressed. Brother Bass stated, “We have multiple things that drive us or cause us to do what we should be doing in our job as the Keeper of Exchequer and they are the Constitution and Stat- ues of Kappa Alpha Psi, province bylaws and chapter bylaws.” The Grand Keeper of Records and Exchequer: An elected national office who serves as the chief financial officer of Kappa Alpha Psi and is responsible for the fiscal and corporate of Kappa Alpha Psi:
