EVACUATION / LOCKDOWN / CLOSURE Senior management or outside authorities such as the Fire Department or Law Enforcement will determine if all or part of the hotel must be evacuated. The following procedures are not all-inclusive but will provide the basic guidelines you will need to personalize for the size and configuration of your hotel. Branded hotels must follow Franchisor’s instructions for evacuation or lockdown to protect and preserve operating systems, connections, and data. Refer to your specific franchise brand standards.

EVACUATION PROCEDURES • Call 911 if Emergency Responders are not already aware of the evacuation.

• The Front Desk will run occupancy reports including identifying guests with special needs. HR will provide a list of all Associates on duty. Have enough copes of both lists available for the Assembly Point team leaders and emergency responders for headcount purposes. • Dispatch personnel to stairwell entrances on each floor to direct and reassure guests during the evacuation. • Assign an Associate to each exit. Do not allow anyone to re-enter the building. • Elevators should not be used. Return cabs to the ground floor and lock them off until advised it is safe to use the elevators. • The prepared message should be announced. Instruct guests and hotel Associates to report to their designated Assembly Points. Suggested announcement: “Hotel management received a security alert which could affect your personal safety. We are evacuating the hotel. Please proceed to the nearest stairway and make your way to the ground floor. Hotel staff will direct you to the nearest exit. Thank you for your cooperation.” • Operator will systematically ring each room of floors involved in the evacuation using in-house guest list information. (If the evacuation is due to a fire, call the fire floor first, then the floors above, then the floors below.) Keep a record of rooms that do not answer. Repeat calling these rooms after a complete call cycle has been conducted. • Have Associate s personally contact each room occupied by guests with special ADA needs. “E” keys may need to be taken to rooms occupied by deaf, impaired or incapacitated guests. • Assign Associates to each building entrance to assist with evacuation and to prevent anyone from entering the building. • Give the list of rooms not answering to the Fire Chief or Property Emergency Chief for follow-up. • Assembly Point lead person shall use the registered guest and on-duty Associate lists to begin a headcount when people arrive in the Assembly Point.
