Quotes & Proposal Requirements Atrium requires 2–3 vendor quotes for almost all capital projects. Each proposal must include: • Full Scope of Work • Labor & materials breakdown • Equipment specifications (model, capacity, size, voltage, gas/electrical requirements) • Cut sheets and manufacturer data • MEP schedules from site plans (if needed) • Timelines and lead times • Startup and commissioning details • Warranty information • Exclusions clearly identified • Delivery, freight, and tax • Installation requirements (piping, wiring, controls, demo, disposal) If fewer than 2–3 quotes are received: • You must document why – Example: “No other vendor is available” is not acceptable as answer. • “Preferred vendor” is NOT acceptable justification, must be detailed • Provide vendor names and reasons they declined to bid Contracts vs Purchase Orders Under $100k • A Purchase Order (PO) will be issued • Applies to capital • The PO amount must match the approved RFC Over $100k • Requires a contract
