Student living works collaboratively with student leaders and students to develop shared commitments, shared goals, shared understandings and shared responsibility for providing inclusive, respectful and safe cultures and environments.

At Student Living, our work is guided by three core principles:

Student Living and Student Accommodation work collaboratively to support residents study, achieve, enjoy warmth, peace and comfort, and to enjoy university life as much as possible in a safe, supported environment.

Student Living have a focus on the ‘living’ or student life and wellbeing side of things, and Student Accommodation have a focus on the room and facilities side of things.

SUPPORT AND ASSISTANCE

The Student Living Team The Student Living Team is here to support you. We provide support for your health and wellbeing, living needs, social needs and academic success. Ask for assistance any time during your stay with us. Residential Enquiries Officers The Residential Enquiries Officer is a new role with officers based at Sandy Bay, Hobart City and Newnham. Many of your questions can be answered, or needs met here. If they can’t solve your problem for you there and then, they will make sure they connect you with the relevant team member from either Student Accommodation or Student Living who is best placed to help you.

Applying for Student Living To be eligible to live in Student Accommodation you need to be an actively enrolled student who is currently studying at UTAS. Once application processing begins you will receive an offer via email with all the relevant information. If your enrollment and study circumstances change whilst in residence, please get in touch with us for your options.

Domestic Under 18 Residents Residents who are under 18 are welcome and cared for in our student living communities. Student Living have additional duty of care requirements for our under-18 residents, and we take our responsibilities seriously. Student Living provide initial pastoral care services with dedicated support officers providing Regular Check-in meetings and addressing any concerns. Strongly supported by our Safe and Fair Community Unit (SaFCU), this team provides further avenues for reporting matters of concern, including the University’s mandatory reporting obligations. The University provides a free and confidential counselling service for enrolled students, through the Personal Counselling Service. This service is also available to those students who are under the age of 18. Parent/Guardian permission must be obtained for the resident to attend off-campus activities and a resident under the age of 18 will not be permitted to attend any overnight activity unless accompanied by a parent or guardian. University community members who are engaged in an activity, as a normal part of their duties, in which they have more than incidental contact with a person under the age of 18, must hold a current Registration to Work with Vulnerable People. The Student Living team accepts responsibility for making contact with the parent/guardian on receipt of an under 18 applications. Here, accommodation arrangements and expectations are made clear and any questions or concerns addressed.

Regular Check-in Meetings Regular Check-in Meetings (RCIs) are a one- to-one meeting that provide an opportunity for a Student Living Support Officer to build rapport and to get to know you, the resident. RCIs are fundamental in developing respectful, professional, and trusting with relationships. They provide an opportunity for conversations with you about your physical, emotional, and social wellbeing as well as supporting greater engagement with University life and academic success. This is paramount in cultivating resilience in our residential community when faced with adversity in many areas including, but not limited to: É Physical Health É Mental Health É Social Wellbeing É Academic Success É Financial Security É Community connections By employing a human-centered approach, our staff can best support you in having a meaningful and positive experience as the University of Tasmania. It is a requirement of being a member of the Student Living community that you engage in the Regular Check-in process. These can be frequent if you need them – once a month, or more often – or infrequent if you don’t require as much support – every 60-90 days. During or after these meetings your Support Officer will take some notes. These notes are treated confidentially in accordance with our Data and Information Governance Policy . These notes are visible only to the Student Living team and SaFCU.

HEALTH AND WELLBEING

Incidents and Account Holds Occasionally things happen in Student Living that are not in line with our values. On occasion, residents may be found to be ‘at fault’. We take resident safety and comfort very seriously and residents may be issued with a warning in the form of a ‘lease breach’ letter. There is an opportunity to appeal the warning if a resident feels it is incorrect or unjust. If a resident has received multiple warnings, or if their actions have risked the safety of themselves or others we may place a hold on their account. This will prevent them from applying for a new lease at the expiration of their current lease until we have resolved the matter to the satisfaction of Student Living. Where behaviours are such high risk that it is unsafe to keep someone in Student Living, we may pursue an eviction. Thankfully, this is very rare and is a last resort. Where incidents are serious in nature, Student Living will work closely with the Safe and Fair Community Unit to reach a resolution. This may involve mediation, reconciliation and/or a full investigation.

We place great emphasis on physical, psychological and emotional wellbeing. We recognise that residents are responsible for the management of your own wellbeing and commit to empowering you to make decisions that affect you. Our team will listen to you and will seek to understand your needs. As you require them, we can help to guide you to the right supports if and when you need them. Student advisers, counselling services and the Safe and Fair Community Unit work alongside our Student Living Team to ensure our students are safe, well and healthy. From time to time, for some people, things don’t go so well. At these times, we are here for you. If Student Living are sufficiently concerned about your wellbeing they may discuss your situation with other University colleagues such as SaFCU, Counselling or the Accessibility Team. In the event that a resident experiences or is involved in a high risk, critical incident affecting physical and/or mental health and safety, the University has the right, after consultation with the resident (as far as circumstances allow and is practicable), to reach out and inform the resident’s nominated emergency contact about the critical incident.

COLLEGIATE-INSPIRED STUDENT EXPERIENCE FROM 2023

Residential college plans for 2023

What’s happening and why? During the COVID-19 pandemic the University focused on supporting the health and wellbeing of our residents, particularly during periods of lockdowns, restrictions, and isolation for covid-positive residents. Our residents and staff have navigated this difficult period with great resilience and a shared commitment to caring for each other, but we recognise the impact on individual well- being and the sense of community during this time. As restrictions ease, we can refocus our attention on the residential experience and fostering the sense of connection and belonging within and between the residential communities. We can now implement strategies that respond to the needs of our diverse student cohort; recognising that this may look different for each location while sharing a common characteristic of care, community and belonging. We know that our colleges play a vital part of our University legacy, with the alumni of our residential colleges greatly valuing their experiences and the relationships formed and maintained from that time. We want to give our current and future residents opportunity to experience that deep sense of belonging and community. To that end, we have exciting plans for the residents of 42 Melville Street, as we begin to embrace a college community model in 2023, and we would love your help in achieving that goal.

Will residents play a part in leading this change? Yes! We want to place students at the heart and centre of the formation and development of our college community model. We need residents to volunteer to become leaders and form the first committee to guide this exciting new chapter at UTAS. Supported by staff and provided with the training and funding required, the college committees will be able to plan and deliver a range of events and activities in 2023 and make our residential college a fabulous place to live, learn and grow. What would I be doing if I am part of the Residents Committee? You’d be part of the team who plans, organises and runs a range of activities and events. These would include social experiences, activity-based events, study or academic supports, college sports, community meals, residential gatherings for cards/games/book clubs and whatever else you might think of! The committees will have support and active help from staff, so it shouldn’t be too demanding, but it will require a regular commitment to building the type of residential college community we all want. You’d also enjoy support and connection from the established committees at Christ College and John Fisher College, in Sandy Bay.

Things you can do to study more sustainably:

Bring your own reusable cup to any café on campus

Avoid single-use plastics by bringing your own shopping bags and containers to stores and cafés

Avoid standby power waste by switching off electrical items and lights when you leave a room or are not using them

Find, swap, share and donate clothes, books, stationery and homewares before you buy new

Find public transport information on the Metro Tasmania website metrotas.com.au

Ride instead of drive! Register as a current or future cyclist for news and info about cycling to the University. When abandoned bikes are found on campus ISD will check the register before donating them to a bike charity. utas.edu.au/infrastructure-services-development/sustainability/transport

RECYCLING WALLS

Recycling Walls are installed throughout University campuses and facilities.

The Recycling Wall has separate units for disposal of various items. These items cannot be recycled through your co-mingle recycling service and would usually end up in landfill. They can be recycled through specific recycling wall collection points. The University seeks to enable staff and students to choose more sustainable outcomes through a commitment to a sustainable future. By installing Recycling Walls we are working to support the targets and indicators of the Sustainable Development Goals and are one step closer to playing our part in a zero waste to landfill future.

Tasmanian law dictates that you must be atleast three metres from a residential entrance/exit to smoke.

If you use aerosol deodorant or hairspray, use it sparingly and in small amounts

Monitor your toast, many false call-outs are due to burnt toast

RESIDENT SERVICES

Shared kitchen / cooking facilities We provide kitchen facilities for cooking. These are shared spaces to be left clean after you use them, ready for the next person. The following residences have shared kitchen/cooking facilities: South: Hobart Apartments, 42 Melville Street, John Fisher College, Christ College and The University Apartments. North: Leprena, Investigator Hall and Kerslake Hall, and Inveresk Apartments. Common Rooms Common rooms can be used for activities such as study groups, meetings and social gatherings. The common rooms across our three campuses vary and offer a range of facilities including vending machines, games, BBQs, lounge chairs, TVs, DVD players and study spaces.

Laundry Laundry facilities are included. You will need to provide your own washing powder. Non-residents are not permitted to use our laundries. Please collect your items as your cycle finishes.

Bike Storage Bike storage facilities are available free of charge. Ask a member of the Student Living Team for more details.

Internet Access Wi-Fi is accessible in most areas of residences via ‘eduroam’. You will need your University of Tasmania email and password to access it. For non-educational internet use, you will need to register with Connectmy.net and create an account.

Communications Official communications from Student Living will be sent to your UTAS email address. Your UTAS email address is also what you use to log into the Resident Portal.

Mail You will have access to an allocated letterbox where Australia Post will deliver your mail if you address it correctly. It is your responsibility to secure it with a padlock. É If your parcel is delivered by StarTrak, you will receive a slip letting you know that the parcel is ready to collect from the local post office in Bathurst St. É If your parcel is delivered by an alternative courier, they will place your parcel on the shelves located at 42 Melville St near the Administration Office. The courier may send you a text when it arrives.

USEFUL INFORMATION

Lock outs If you accidentally leave your access card in your room or lose it, contact the Student Living Team for assistance. The first three lock outs are free, but a $5 charge will be placed on your account every time afterwards.

Condition Report You are required to complete a Room Condition Report within 72 hours of moving into your allocated room. Any maintenance requirements or missing items should be reported in this report.

Noise We operate quiet hours on our Student Living sites where from 8.30pm it needs to be quiet enough to study, from 10.30pm quiet enough to sleep, and after 12am there should be no unnecessary noise.

Wall Decor If you wish to place mirrors, artwork, photos, etc. on your walls, you may only use the Command 3M range of damage-free hooks that are available online, at local supermarkets, Kmart, Officeworks and various other stores. Please note that while we recommend these products, any damages to wall, ceilings, etc. may result in charges. Not Allowed The following items are not allowed in your room or common areas: É Bikes É Wading pools/slippery slides É Pets (excluding guide dogs) É Candles/incense/diffusers É Large electrical appliances É For non-NRAS accommodation, any electrical appliances that emit heat (e.g. heaters, kettle, rice cookers) É All explosives, weapons and firearms Student Living reserves the right to confiscate any item/s

Day visitors and overnight guests We understand residents want to spend time with their friends and family. A Day Visitors Day visitors are required to leave university accommodation by midnight. A Overnight Guests If you are planning to have a guest stay overnight, please email your request to enquiries@accommodation.utas.edu.au at least three business days prior to their stay. All overnight guests require approval by the Student Living Team. É If you live in a shared apartment, it is not appropriate to have overnight guests. This is especially the case in a single gender apartment. If you believe you have good reason for Student Living to make an exception, please email your reason to the above email address. Student Living will seek written approval from your house mates prior to any exemption being granted. É The University reserves the right to charge an amenity fee to anyone staying more than three nights in any seven-day period. This includes current residents staying in a room other than their allocated room without an Agreement. É The Student Living Team reserves the right not to allow a person to stay as a visitor, and to limit the number of occasions that individual may stay.

Smoking Smoking is not permitted in or on University of Tasmania property (including outdoor spaces). Tasmanian law dictates that you must be at-least three metres from a residential entrance/exit to smoke.

Alcohol The use of alcohol in any manner that is unsafe, illegal or fails to respect cultural differences and the rights of others is not permitted at Student Living.

Privacy Your confidential information is stored, used and disclosed in accordance with current Tasmanian legislation. We will not disclose your address, telephone or contact details to the general public. We cannot share or discuss your details with any person, even a family member, without your written consent, unless we are concerned about your safety.

USEFUL INFORMATION

Room Preferences In your application for accommodation at Student Living, you may include room preference details. Please note, there is no guarantee that your room preferences will be met and you may not get the same room in subsequent contract periods. Many students prefer to change rooms each year so that they can meet new people and have new experiences. Payments and Fees You are required to pay all fees and charges as set out in the terms and conditions of your Residency Tenancy Agreement. Fee installments must be paid on or prior to the due dates. Rental charges are charged fortnightly and paid in advance. Our preferred payment method is direct debit. That means your fortnightly rent will be automatically deducted from your nominated account/card. Please make sure you have sufficient funds in your account or you may be charged a rejected direct debit fee. Cash payments are not accepted. Late Payments If rental payments are late, you may be in breach of your Agreement. If rent is 14 days or more overdue, you may be issued a Notice to Vacate. Your Agreement may also be terminated. Failure to pay fees will result in a block on your University account until the debt is cleared. A block will result in you not being able to access your academic results. If you are experiencing difficulties paying your fees, please contact our Student Accommodation Team before fees are due so that a payment plan can be arranged. Public Transport Hobart City and Sandy Bay: The free UniHopper runs throughout the day to get you between our City locations, the Sandy Bay campus and Sandy Bay student accommodation. All Tasmanian campuses: Metro buses run very frequently between Hobart, Launceston and Cradle Coast campuses and their city centres, and also offer suburban services directly from some campuses.

Student Permits Residential parking permits entitle the permit holder to park in any Student Permit Parking areas on our campuses.

Multiple Vehicles A A permit may be used for more than one vehicle. It is the driver’s responsibility to change the permit to the vehicle in use.

Lost Permit A replacement permit may be issued for a payment of $25.00.
