Driver Qualifications Employees using a College vehicle or choosing to use a personal vehicle for College business must notify the Vice President of Administration and Finance or his/her designee and complete a Driver Application and meet all the qualifications for approval: • Employee accepts the responsibility and liability associated with driving on behalf of the College; • Employee must authorize the College to run a driving record report for a minimum of a three-year period and the record will be checked minimally every twenty-four months; • Employee will not be approved to drive any vehicle if he/she has four or more points within the past three years; • Employee must notify the Vice President of Administration and Finance or his/her designee if convicted of drunk driving, driving under the influence or if a license is revoked or suspended at any time following submission of the Driver Application; • Employee will show proof of insurance to drive either an HCC vehicle or a personal vehicle; and • Employee will complete Defensive Driver Training and successfully pass a quiz with a minimum score of 70 percent as required by HCC’s insurance company. A Schedule of Drivers will be maintained by Administration & Finance and updated no less than annually. Individuals using college vehicles must complete and submit the General DOT Permission Form located in Passport under the eForms Catalog, or found at the following link: https://passport.hagerstowncc.edu/. All drivers must meet the following requirements: • Be at least 18 years of age; • Possess a valid driver’s licenses for at least two years; • Maintain a good driving record as determined by the Vice President of Administration and Finance; and • Confirm receipt and understanding of the College’s Policy on the Use of Vehicles. Individuals routinely using their personal vehicle for College business/activities must: • Provide the Vice President of Administration and Finance or his/her designee with proof of insurance for the vehicle being used. The individual is responsible for the cost of maintaining this coverage; • Acknowledge that personal insurance will serve as primary in the event of an accident; and • Any employee who receives a moving violation or ticket is responsible for the penalty and/or fine regardless of whether driving an HCC vehicle or personal vehicle. Restrictions • College vehicles will not be used for personal or non-College business/activities; • Children are not allowed to ride in College vehicles except those that are enrolled as students of Hagerstown Community College; • Students are not permitted to ride in any employee’s personal vehicle, only an HCC vehicle may be used, but only if it meets the criteria noted above; • Family members and friends will not be transported in College vehicles, unless serving in official capacity for College;
