In 2008 we built a new North Wing to provide improved facilities for Sixth Form pupils and new facilities for the Health Centre. In 2013 we added two more science labs to bring the total to fifteen. All this situated on 200 acres in the beautiful, wooded Harestone Valley. Caterham School enjoys an enviable reputation for producing highly successful individual and team performances in a wide range of sports. Excellence is pursued wholeheartedly (with many pupils achieving county, national and international representative honours), but the aim is also to cater for every pupil, at his or her own level of ability and enthusiasm. The co-curricular programme is extensive and covers a wide range of activities including, but not limited to: music, drama, dance, Duke of Edinburgh’s Award, languages, circus club, science, outdoor pursuits, go-karting, kit car club, chess and Warhammer.

The Commercial and Facilities Manager role is a new to the school. Sat within the Bursary team this role will focus on developing and delivering commercial revenue, and managing the domestic arrangements. The primary function will be to put together a commercial strategy focused on the letting of our state of the art facilities, Summer school programme and Hockey & Swimming Academy. Alongside managing the operational delivery of the housekeeping, cleaning and laundry functions to ensure that a 5* star services is delivered throughout the year. 2.0 OVERVIEW

PURPOSE OF THE ROLE

Key Duties and Responsibilities • The post manages the Hockey and Swimming Academy Managers in addition to 21 members of staff via the Housekeeper and Head Caretaker who are responsible for providing services such as cleaning, caretaking, and laundry. The post works in close liaison with the Estates Bursar, Catering Manager, Sports Centre Manager, Director of Sport and the School’s Marketing Department. Commercial Lettings: • Identification of opportunities for generating commercial income. • Preparation of relevant marketing material and advertisements (in conjunction with the marketing department). • Strategic and proactive in initiating contact with potential customers. • Meeting with potential customers to show the facilities available. • Negotiate terms and ensure appropriate contracts are in place with all customers (in conjunction with the Bursar). • Providing invoices for lettings and ensuring payment is received (in conjunction with the Finance Bursar). • Ensuring required facilities are prepared for customers and maintained as appropriate during residential stays. • Liaising with lettings customers during their booking to ensure high satisfaction and maximise repeat bookings. • Managing appropriate income and expenditure budgets and contributing to the annual budget process. • Line Management of the Hockey and Swimming Academy Managers to ensure the successful and coordinated achievement of their goals. • Liaison with the marketing department to maximise potential interest in Caterham School from those attending commercial events including prospective pupils. Facilities Management: • Ensuring that the School’s facilities are kept clean and tidy and have the highest quality of appearance at all times in partnership with the Housekeeper and Head Caretaker. • Undertaking inspections to identify unsightliness or damage within the facilities and liaising with the Estates Bursar to provide input to the annual maintenance programme. • Ensure an efficient laundry service is provided for pupils and other school needs in partnership with the Housekeeper. • Source all furniture and soft furnishings for the premises. • Ensure that furniture and furnishings are smart and clean and fit for purpose. • In liaison with the Estates Bursar, managing the provision of fixed and loose furniture and soft furnishings in new and refurbished buildings. • Ensure that facilities are prepared for events as required by the School. • Procure equipment on a cost effective basis e.g. for laundry and cleaning. • Preparing budget requirements and effective spending controls for all areas of responsibility. Other associated responsibilities: • Compliance with legislative and regulatory requirements associated with the above responsibilities including those relating to health and safety such as risk assessments and Independent Schools Inspectorate (ISI) related compliance. • Practical aspects of entertainment licenses, related safety procedures and liaison with Local Authorities in respect of such licences. This is with the exception of catering licences, which are managed by the Catering Manager. • Liaising with the Parent’s Association on event support. • Attending meetings and School events as requested by the Bursar and deputising for the Bursar on all Commercial and Facility matters. • Undertaking any other reasonable tasks as requested by the Bursar.

PERSON SPECIFICATION

Skills and Experience: • Previous experience in a similar role; the education sector would be an advantage but is not an essential requirement. • Collaborative and able to work effectively with multiple stakeholders with varied priorities and requirements. • Excellent understanding of customer service and the ability to deliver a customer-focused service at all times. • Able to demonstrate commercial acumen, diplomacy and negotiation skills. • An understanding of the importance of the academic requirements of an independent school and an ability to balance these in relation to the needs of lettings. • Very high standards with an eye for detail. • Able to communicate assertively and persuasively both orally and in writing. • Ability to produce and interpret relevant financial information; including the preparation of effective budgets and monitoring income & expenditures against them. • Effective procurement and contract negotiating skills and experience. • Effective leadership skills; able to establish an appropriate and independent working relationship with a range of staff and third parties. • Proven management skills with experience of managing a diverse team and working to deadlines. • Appropriate IT skills including competency in Microsoft Office. Qualifications:

• Degree in Facilities Management or Hospitality sector • Member of a reverent professional body ie: BIFM or IoH

A salary of £45,000 to £50,000 dependant on experience Working hours are flexible 37.5hours per week, Monday to Friday, in accordance with the needs of the role. Occasional Saturday and evening work is required to meet the needs of School events and the lettings programme with time taken in lieu.
