Main Duties & Responsibilities

Supervision/Staffing • To lead the Student Records & Exams Team, ensuring effective approaches to selection, induction, professional development, appraisal and management of workloads • To ensure effective delivery of services, through the communication of clear business objectives, and alignment of individual/team objectives with University Strategy • To ensure that staffing resources are deployed to achieve the most effective outputs, that expectations and objectives are clear and that there is an effective plan for development to meet service needs • To ensure that the standards and service levels for student records and exams are consistently achieved • To develop and sustain a culture of outstanding performance and continuous improvement within the team Communication/Documentation • To communicate effectively across a wide range of audiences • To lead communication with Faculties, Schools and other Directorates on matters relates to student records, exams and assessment • To develop and maintain positive working relationships with colleagues across Faculties, Schools and professional services • To produce high quality documentation in a professional manner • To ensure all institutional processes related to student records, exams, assessment and awards are clearly documented • To ensure that the team communicates effectively and sensitively with staff, students and external agencies in carrying out their work.

• To provide expert advice on matters related to internal academic regulations, student records, exams, assessment and awards, attending relevant meetings and exam boards, providing evidence-informed reports and briefings as required and representing the university externally • To lead on risk identification and management for student records and exams and maintain an effective business continuity plan Teamwork • To work closely with the senior team in Academic Registry to contribute to the effective achievement of University and Registry priorities • To work closely with Heads of Faculty Operations to ensure effective end-to-end processes are in place for all Student Records & Exams processes owned by Registry and delivered throughout the institution • To work closely with Student Services to ensure a cohesive approach to matters that impact student experience and student support • To work closely with Quality Assurance to ensure effective operation of assessment, exam and awards processes in line with internal and external regulations • To work with Information and Digital Services to ensure effective strategic development and maintenance of the Student Records System and related system(s) • To work with Corporate Information Services to ensure that data held within the Student Records System and related business processes continues to meet the requirements for relevant statutory returns, including those required by the Office for Students and HESA

Work Processes & Results • To lead ongoing review, development and delivery of effective and seamless institutional processes for student records, exams, assessment and awards across the institution, working with Heads of Faculty Operations to fully map processes and ensure that they operate efficiently and effectively from end-to-end • To lead on process and system change, enhancement and transformation projects within student records and exams, working with other professional service Directors, Heads of Service, Faculties and Schools to review and improve business processes to ensure optimum efficiency, effectiveness and student satisfaction • Ensure that services provided to staff and students are delivered efficiently and to a high standard, establishing a culture of continuous improvement, seeking feedback and adjusting services to reflect staff and student needs and requirements • To effectively utilise management information, data and performance indicators to continuously review and enhance service quality and efficiency and identify and implement improvements to business processes to ensure optimum efficiency, effectiveness and student satisfaction • To lead management and ongoing development of the student record system and associated business processes, enabling efficient, effective, comprehensive and accurate capture, storage, ongoing maintenance and reporting of student, programme and module data; working with IDS to manage system training & access, and ensure effective interfaces with other university systems

• Maintain and develop expert knowledge of SITS and sector advances in relation to student records systems and make recommendations for opportunities to further develop and improve systems to meet business need • Establish consistent, and high-quality data standards in relation to student records, monitoring the quality and completeness of data linked to key student journey milestones, and identifying appropriate action to address any issues identified in data quality • To lead delivery of central professional support for organisation and delivery of exams, ensuring that exams and assessment processes are carried out efficiently and effectively • To work closely with Quality Assurance to develop, maintain, revise and ensure compliance with relevant internal and external regulations and policies in relation to student records, exams, awards and assessment • Ensure robust, accurate and timely management information is available to inform institutional decision-making in relation to student records, exams, assessment and awards • To oversee the Student Records & Exams budget • To lead or contribute to university policy development, projects and strategic initiatives as relevant to the role • To maintain a detailed and current understanding of expectations, developments and best practice in the sector in relation to student records, exams, assessment and awards and support and lead the University in adapting to ongoing changes in the external policy and regulatory environment
