1.23 Set Up Your Vehicle Maintenance Program Automobiles are one of the most noticeable features of the MOLLY MAID system. Their clean, glistening appearance in neighborhoods allows us hundreds of opportunities every day to display the MOLLY MAID difference. They are one of the major reasons we are considered the leader of the cleaning industry. Our cars represent a benefit to our customer, our employees, and our business. But, like any benefit, it has its costs. The following suggestions can help you reduce costs over time and give you the greatest leverage with dealers and mechanics when problems do arise. We strongly suggest using only automatic transmissions in your cars, since different employees will drive the cars over the course of their useful life. Set up and use the Vehicle Maintenance Log for each of your vehicles (See Appendix). You will also find this set up as an Excel spreadsheet as part of the MOLLY MAID Sample Documents and on the MOLLY MAID Team web site. Create and maintain an individual folder for each vehicle in your fleet organized by Vehicle Identification Number (VIN). Place all information such as lease contracts, bills, warranties, service contracts, etc. in it. This avoids any confusion and allows you to present a strong maintenance history to a dealer should you be required to defend your warranty. Non-warranty service can be arranged for your fleet of vehicles either with your dealer or another reputable local business. Lastly, keep up a routine maintenance program that is consistent and documented. The best maintenance is preventative maintenance. Fifteen minutes per car per month can save you hundreds of dollars over the course of the vehicle's lifetime, as well as innumerable frustrations. Remember that documentation is your greatest weapon against a reluctant dealer. To ensure you get off to a Right Start , it is wise to establish a comprehensive maintenance schedule in accordance with the manufacturer guidelines and have an appropriate facility prepared to service your fleet. Vehicle maintenance is also a service offered by Enterprise Fleet Services that you may want to take advantage of. They provide oil changes and regular maintenance, along with logs to record activity. 1.24 Establish a Relationship with a Local Urgent Care Center Talk with your Workman’s Compensation Insurance carrier and ask for a list of clinics in the area on their approved list of providers. Determine which industrial clinic or urgent care center is most centrally located in your territory and set up an appointment with them. Meet with the administrator and set up a business relationship allowing your staff to receive care for emergency work-related injuries.
