About the Directorate of Estates & Facilities

King’s Directorate of Estates & Facilities is a key enabler of the university’s Strategic Vision 2029 and we have created a strategy which demonstrates our intent and sets out how the Estates & Facilities team will support the ambition of the university’s strategic vision. Our philosophy has been developed using the Guiding Principles outlined in Vision 2029; we have worked with the teams across the other support

functions, with our academic and research colleagues and our students so that we can ensure that the communities we serve are at the very heart of the directorate’s work. Senior Workplace Manager

Role Outline Reporting to the Associate Director of Workplace Management, the successful candidate will work at a strategic and operational level to plan and advise on campus space strategies and requirements for the short, medium and long term. The role of Senior Workplace Manager will be pivotal in supporting the development of the newly formed Workplace Management Team. The successful candidate will possess proven experience and a track record of successfully leading the development and implementation of space and workplace strategies at a senior and influential level, preferably in a Higher Education environment. The successful candidate will establish a strong evidence base for space planning, including the production and analysis of utilisation data, establishing benchmarks and constructing strategic scenario plans to forecast the demand for space in order to inform decision making. The Senior Workplace Manager will work closely with our internal clients at a strategic level to ensure that the client’s portfolio is fit for purpose and that they achieve optimum use of their space across the estate portfolio. Role Purpose • Ensure that the University’s spatial strategy reflects the wider strategic ambitions documented in Vision 2029 and other strategy documents and develop space management policies in support of Vision 2029, the E&F Philosophy and other university strategy documents and master plans. • Develop space standards and other guidance to ensure the efficient and effective use of the estate. • Develop spatial briefs for new builds and projects in partnership with other KCL stakeholders and external consultants. • Support senior stakeholders to balance headcount and other demands within the available spatial envelope.

Key Responsibilities The successful candidate will • Ensure that space across the university is used efficiently and effectively • Advise on and support new and innovative ways of working • Have excellent strategic planning and analytical skills • Have a track record of leading behavioural change programmes

• Be experienced in implementing new and emerging technologies, supported by data • Have excellent interpersonal, communication and influencing skills and a flair for innovation • Be proactive and enthusiastic

Stakeholder Engagement • Build strong relationships with key internal stakeholders and with professional services colleagues across the University, as well as with external stakeholders, such as NHS Trusts and our appointed consultants. • Act as a single point of contact for space requests relating to the Faculties, Departments and Directorates as agreed with the Associate Director of Workplace Management. • Have a comprehensive understanding of KCL Strategic plans, Faculty business plans and external stakeholders such as the Trusts to ensure that all spatial strategies and plans are aligned to these needs. Strategy and Planning • Collaborate with all levels of the business to ensure a connection between business requirements/strategy and overall real estate strategy. • Develop outline project/programme spatial briefs for projects • Develop spatial modelling scenarios and space strategies for the University • Support the collection of FTE/HC and location data from Faculty, HR, Finance and similar systems and work with the Estates Information Team to ensure this data is integrated into team information systems. Communication • Responsible for scheduling and producing reports for meetings such as the Health/A&S Space Management Group, Real Estate Operations Board etc in addition to local campus space planning committees. • Maintain an up-to-date record of space allocation requests to ensure that project and task lists are current. • Develop and utilise space modelling tools and techniques to allow for a robust understanding of Faculty requirements, such as School relocation modelling, and simulation modelling. • Liaise with the external consultant tasked with producing and maintaining an interactive 3D model of the estate. • Analyse data and produce reports for Department/Faculty/Building/Campuses as required. • Work closely with the Estates Information Team to ensure that Planon, SharePoint and other electronic systems are updated with space type, allocation and occupancy information.

PERSON SPECIFICATION

Skills, knowledge, and experience • Bachelor’s degree or substantial relevant experience. (Essential) • Master’s Degree, or equivalent. (Desirable) • Membership of a relevant professional body e.g. RIBA, RICS. (Desirable) • Project management qualification. (Desirable) • Comprehensive demonstrable space management experience in a similar organisation. (Essential) • Ability to analyse a problem and clearly present drawings and data to make a compelling argument. (Essential) • Experience of analysing space data, making and presenting compelling recommendations for improvements and seeing those recommendations through to realisation. (Essential) • Ability to engage with and influence senior colleagues. (Essential) • Excellent written and verbal communication skills. (Essential) • Experience with and understanding of an Integrated Workplace Management/CAFM System. (Essential) • Experience of using BIM for data management.
