An example is our Hollis Croft development in Sheffield where we provide students with theatres, a cinema room, study rooms, relaxation areas and recreation areas. We’re big on retention, both of our customers and our people. We offer brilliantly located properties in major University towns and cities, well-priced and equipped with all the amenities and services our customers need to thrive whilst at University. Job Description Post Title: Technical Support Co-ordinator

ESTATES All Estates staff are required to conform with the Student Roost policies and procedures, behave in a professional manner, and support the core values of the service to ensure: • Customer satisfaction • High quality design standards and buildings operations • High quality facilities maintenance and services • Safety and security of students, staff and property • Environmental protection and sustainability • SMART systems both for Estates and the wider portfolio The post will support Estates in the key areas of: • Daily operations of the Estate • Continuous improvement in performance • Effective customer relations within Estates, our Customers, Universities and externally as directed. JOB DESCRIPTION Purpose To Champion and develop the Estates approach to modern building information archive resource and the effective wider use as a valuable asset in differing formats. To take the lead for and drive the collective use of the archiving & associated control of drawings & documents held electronically and within the Estates central building information archive. Responsible for producing and maintaining building and Estates information, for example drawings for all buildings throughout the Groups Estate on AutoCad in both layout and schematic form along with space management control. MAIN DUTIES AND RESPONSIBILITIES 1. Manage and maintain strategic coordination of the central Estates building information archive and procedures. 2. Lead with the development of archiving and associated document control process including the Estates Contract Standards procedure. This supports the Estates Record Information Strategy. 3. Liaise with Head of Technical Services and Property to ensure the received building ‘as fitted’ drawings from Estates projects are received in a timely manner. This should also be reflected for smaller works carried out by their team(s) and with maintenance contractors are ensuring they are fit for purpose. 4. Developing the management of and lead in carrying out quality audits checking the accuracy and completeness of drawings issued by the relevant stake holders.

5. Liaise with the above to ensure the received & Inspected building H&S & Operation and Maintenance manuals from Estates project & maintenance teams & contractors are fit for purpose. 6. Lead on the update of all Estates central master CAD Drawings of buildings when receiving new project information. 7. Design, Develop & Maintain the CAD Space Drawings. Manage the Data from the drawings to ensure estates management statistics raw data is suitable for audits. Liaise with the Estates property Managers and prioritise the gathering of accurate central information targeted to the annual Summer project requirements. 8. Check the accuracy and completeness of information issued by the relevant stakeholders. Use the information received to update all Estates central master information of buildings. 9. Resolve any areas of non-compliance relating to building, mechanical, electrical services and BMS resulting from information checks with the relevant team and ensure closure of any non-compliance issue. 10. Maintain and update as necessary the CAD procedures document and have input into the Estates Good Practice Design Guide & Estates Contract Standards Toolkit. 11. Supervise and undertake as required the survey of buildings by external parties to produce drawings of layouts, schematics and O&M manual information of buildings & its services. 12. Lead on / carry out surveys undertaken for resolution of any inconsistent pre archived data and update the relevant documents. 13. Develop and maintain additional support schematic drawings as necessary to aid understanding of the systems by maintenance staff. These will be used for training aid memoirs, hand books and possible future use by the teams PDAs. 14. Work with in-house staff when required to produce tender support information and drawings. 15. Assist in the development and audit improvement of Building Log Books. Ensure they are produced and continually maintained for existing, new, maintenance and refurbishment works, in liaison with appropriate Estates specialists. Identify improvements to Senior Technicians for them to include. AND such other duties as are within the scope and spirit of the job purpose, the title of the post and its grading. Supervision Received The post holder reports directly to the Head of Building Services Supervision Given Direct & Indirect Reports for support activities as required Contractors and Consultants as & when required

Person Specification

ATTRIBUTES

ESSENTIAL

ADVANTAGEOUS

HNC in relevant subject or equivalent experience.

Building services CPD certificates.

Education/ Qualifications

CAD qualification.

Certificate in AutoCAD.

Policy and guidance development.

Broad up to date knowledge of building services legislation.

Experience (Paid and Unpaid)

Structured approach to drawing management through Windows and AutoCAD software.

Experience of the use of computer aided facilities management software. Experience of carrying out and completion of building survey audits.

Highly organised including attention to detail, deadlines, and accuracy.

A structured approach to Archiving understanding overall philosophy of good practice.

Use of QA standards and specifically drawing issue control methods.

Ability to lead on all aspects of drawing document management.

Broad understanding of building logbooks and revision control

Job-related skills/ Aptitudes

Broad understanding of Mechanical and Electrical Building Services .

Ability to work on your own initiative.

Ability to interpret consultants, engineers, maintenance and safety officers requests. Detailed knowledge of CAD Standards with extensive use of symbols libraries.

The salary on offer for this role is Circa. £30,000 plus; • 5+5% pension
