About the Directorate of Estates & Facilities

King’s Directorate of Estates & Facilities is a key enabler of the university’s Strategic Vision 2029 and we have created a strategy which demonstrates our intent and sets out how the Estates & Facilities team will support the ambition of the university’s strategic vision. Our philosophy has been developed using the Guiding Principles outlined in Vision 2029; we have worked with the teams across the other support

functions, with our academic and research colleagues and our students so that we can ensure that the communities we serve are at the very heart of the directorate’s work. Denmark Hill Campus Denmark Hill Campus provides facilities for the Faculty of Life Sciences & Medicine, the Dental Institute, and is the home of the Institute of

King’s Projects

Psychiatry, Psychology and Neuroscience and the Champion Hill Residence. Denmark Hill is situated in Camberwell, in the London Borough of Southwark. In the last few years this and the neighbouring areas have undergone an incredible process of regeneration and are now one of the most exciting places in London to live, study and work. Role purpose The Campus Project Manager is responsible for the planning, scoping, co-ordination and execution of campus projects of varying value. The campus projects consist of small to medium-sized refurbishment, relocation/space optimisation and installation projects located within the campus buildings/boundaries. The role involves client liaison, developing design briefs, space planning (including the use of AutoCAD), scoping of projects, the tender or pricing of works using KCL labour or external contractors, management of the approval process and it’s various check-points, project delivery/completions, handover and final accounts and cost allocations, as well all necessary CDM obligations. The role also includes the upkeep of existing records and the review and acceptance of new records onto the Colleges approved file storage system to ensure that all site records are up-to-date and accurate. Denmark Hill has a strong teaching presence but is primarily a medical research based campus so the role involves research based projects and the complexities thereof. Key Responsibilities Key Objectives • Scope, develop and deliver campus projects in support of the Head and Associate Director of Campus Operations; • Coordinate re-occupation of offices/areas following the new furniture delivery and any enabling works; • Interact with various internal and external contacts and take responsibility for the delivery of parts of projects within time, quality and budget constraints. Communication and Networking • Liaise with internal/external clients, internal College’s consultants (including IT, AV, Procurement, Finance, Fundraising, Marketing and others), suppliers, contractors and other E&F colleagues, as necessary, for the delivery of campus projects; • To work with the Campus Operations and the in-house maintenance team to assess and develop plans to enhance the student and staff experience, to meet the needs of the College in support of Vision 2029 and supporting strategies; • To work with the Campus Operations teams and the in-house maintenance team to utilise in-house resources for minor works, where there is a clear commercial benefit to the College; To liaise with the College’s Corporate Branding department and ensure compliance with the College’s Brand standards through projects. • To liaise with the E&F Communication team and the Service Desk team to ensure that effective stakeholder communications is developed and issued in timely manner. • Liaise with other team members in a multi-disciplinary environment to achieve holistic building solutions to client brief on small and medium sized projects.

Decision Making, Planning and Problem Solving • To support the team in ensuring that all work is carried out in strict accordance with all relevant statutory regulations and approved codes of practices (including but not limited to, Building Regulations/Building Control, Heritage Legislations, H&S legislations), the College’s Manual of Financial Regulations and Procedures and conforms to the Estate & Facilities Directorate’s policies, processes and procedures and technical specifications • Provide accurate estimates for requested project works to be carried out by direct labour, negotiate or tender, the allocation of resources and ensure that work is priced, inclusive of relevant cost centre, ensuring effective monitoring and control; • To ensure compliance with the College’s Permit to Work systems for various deliveries/pertinent project works’ delivery. Service Delivery • Drafting of surveys, reports, make alterations to projects and work with AutoCAD and Photoshop as required; • Co-ordination and reporting of projects to ensure effective execution and consistent monitoring; • Obtain competitive quotations and/or manage competitive tender processes in compliance with the College’s Financial Regulations for work to be carried out by external contractors. Submit for approval and coordinate official contractual appointments; • Process financial documentation relating to the managed campus projects, including placing and expediting orders, processing delivery notes, invoices and recharges, and monitor and reconcile final accounts for project; • To ensure that the College’s record drawings for all campus buildings are updated and accurate and receive and comment upon Operation &Maintenance manuals and Health & Safety Manuals; • To update the campus records in the agreed version on the College’s approved storage system; • Monitor and report expenditure in-line with project allocations, ensuring value for money is obtained

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.

PERSON SPECIFICATION

Essential criteria • Knowledge of current UK technical standards/publications and legislation requirements (included but not limited to, Building Regulations/Building Control, Heritage Legislation, H&S Regulations). • Demonstrable knowledge of CDM 2015 regulations • Excellent standard of IT literacy with a high level of proficiency in the use of Microsoft Office software i.e. word, excel, etc. • Good administration and organisational skills • Determine and coordinate the analysis of space needs by building users in line with the corporate space strategies. • Good knowledge of spatial design, development and associated processes. • Strong demonstrable verbal and written communication style and interpersonal skills, particularly the ability to influence and negotiate both internally and externally. • Experience in managing tender processes and awarding appointments. • Experience of managing project financial processes (including placing and expediting orders, processing delivery

notes, invoices and recharges) and monitor and reconcile final accounts. • Articulate, tactful and diplomatic when dealing with staff at all levels. • Flexible approach and a good team member. • Ability to work with minimum supervision, using their own initiative. • Excellent communication skills and ability to work in a methodical manner. • Prepared to travel anywhere within the King’s College estate. • Prepared to undertake any necessary training that might be required. • Spatial awareness and understanding of efficiency in space use.

• Effectively manage own time and others within small teams across multiple projects and prioritise workload • Ability to work accurately and methodically under pressure and strict deadlines, including the ability to juggle multiple tasks. • Excellent time and cost management skills to ensure cost effective and accurate delivery. • Ability to work well within a team of other design consultants (i.e. Architects, quantity surveyors, structural engineers, service engineers etc) to deliver successful projects in agreement with the brief.

Desirable criteria • Educated to degree level or equivalent • Educated to degree level in a Built Environment related subject

• Health & Safety Qualification e.g. NEBOSH General Certificate or IOSH Managing Safely • Experience in a complex organisation (e.g. owner-occupier, HE sector, public sector) • Proficient in the use of AutoCad and graphics software, spreadsheets, and report writing

• Experience in BIM, 3D modelling (incl. sketch-up) • Use of collaborative (project) management systems
