For the payroll profession and for obvious reasons, 2020 was a year like no other. With a mass shift to virtual working, ever-evolving regulatory changes and an incredibly volatile employment landscape, the responsiveness of payroll professionals was tested to the limit. However, we’ve found that the payroll profession responded diligently and with agility to adapt to the rapidly evolving landscape. During a recent webinar we asked: “How would you rate your organisation’s response to Covid-19 from a payroll perspective?”; nine out of ten responded with an average or better score, with 48% saying their response was ‘excellent’. But that’s not really a surprise given that payroll practitioners have a propensity for attention to detail, to problem solve and to do so with a cool head. But we shouldn’t have to rely on these traits – and this software supplement highlights ways technology can help. When we built Dayforce in 2012, we did so with one core belief – that if we could replace the archaic, batch-based processes that were prevalent across all experiences of human capital management, we could create strategic value for companies and engaging experiences for their employees. We started with the continuous calculation of pay. We noticed that all technologies in the market had a separation of data across the pay and time systems, which meant payroll administrators could not access their data until one day after the pay period ended. The result was a very rushed close of payroll and a sub-optimal quality of pay.

As we continued to research, we discovered the same essential challenge caused similar inefficiencies in hiring, onboarding, compensation, learning, performance management, and workforce management. We designed Dayforce with a single database and single rules engine across all experiences of human capital management. We knew if we did this right it would lead to cost savings, higher-quality, more compliant pay, and valuable real-time data that business leaders could use to make better strategic decisions. The same principles told us there was an opportunity to significantly improve the employee experience. With Dayforce Wallet we disrupted the notion of a fixed pay period and empowered employees with on-demand access to their earned wages. Dayforce Wallet allows employees to see exactly how much they’ve earned at the end of each day – net of all taxes and deductions. And it gives them the power to choose to get paid immediately. We launched Dayforce Wallet in April 2020 in North America, and hundreds of customers signed up within the first six months. With tremendous feedback from employees, we are expanding the countries where Dayforce Wallet will be available to include the UK, among others. Hopefully, we will not experience a year like 2020 again any time soon, but it’s unlikely that things will be plain-sailing for payroll professionals. So, I encourage you to take some time to explore some of the technology solutions that can help you add strategic value to your organisation and better engage your employees.

It was in the early 1970s that I first encountered payroll software and appreciated its transformational potential. The computer technology then was solely ‘mainframe’, with batch processing performed which required large disk drives being laboriously connected and disconnected from the processor. Though the processing power of computers and software in the 1970s was astounding, this has been surpassed in every way imaginable. Today, small to tiny yet astonishingly powerful computers can sit on desktops or be held and be easily transported. The explosion in processing power and storage capacity obtained via technological advances has enabled and driven the emergence of new software for a wide range of purposes. Much if not all of these extraordinary developments rely on the internet, which is itself an awesome invention reliant on computer technology. Internet-connected software (apps) are increasingly encountered in our work and recreation, and it is difficult if not impossible to imagine work and a world without them. We might of course be somewhat casual in choosing recreational apps for our personal devices as we can quickly ignore or remove them as we wish with little if any cost or damage. Choosing payroll and HR software, however, is comparatively a much-more onerous decision and commitment, with potential for unforeseen costs and damages were poor or inadequate selection made. Making the right choice of software for payroll and HR demands essential knowledge of many things, such as suitability, functionality, and features. Not only is it necessary to identify whether the software being reviewed can fulfil existing processing requirements, but also

whether it offers a means to implement new and preferred methods of working and processing whether immediately or in the future.

The coronavirus pandemic has caused many businesses to focus on reviewing their payroll and HR software and processing requirements. The providers of such software and processing services continue of course to develop these using innovations to attract and retain clients and customers. Amid the Covid-19 pandemic, payroll professionals have been deemed key workers – and rightly so – because processing payroll is business critical. Something else that’s critical, is the software payrollers use for that task.

Whilst there’s no silver bullet to process an accurate and timely payroll, your software is a tool that will make the job easier or harder.

Observations on the industry

Following on from real time information submissions being required on or before pay date, payroll software became a key part of the payroll industry, and payroll software has also had to flex during 2020. We have seen an increase in cloud and hybrid software as everyone had to work remotely where possible. This has also led to changes in the payroll workflow. Just as payroll professionals deal in regular cycles so does payroll software with regular release cycles. Again, cloud-based solutions can and usually do release more frequently whereas desktop solutions tend to have more limited releases, sometimes only annual release or maybe quarterly. Although these changes have been forced upon payroll this year the fact the industry has been able to cope shows its adaptability, resilience and determination to get the job done. Going forward, payroll people should use this adaptability to take a more considered look at their processes. Payroll software – particularly cloud – has developed a lot in the last few years. This development goes beyond just the latest legislation changes. Integration with other software such as time sheets, HR tools, employee portals etc, can help streamline payroll process. By looking to utilise software, payroll professionals can look to enhance their profile. Just like how accountants have gone from data entry only to ‘trusted advisors’ payroll professionals can make a similar change. The value of payroll professionals is not in the data input it’s about understanding the impact of legislation changes to individuals and to payslips. While you may not be able to give individual advice to an employee you can explain in general terms the impact of benefits in kind, differences in the tax relief methods for pensions, impact of tax code changes – and so much more. Part of being a trusted advisor is utilising the latest technology. Guides like this help you assess the different capabilities to support your unique business requirements. A bit like buying a new car as well as looking at the technical specs it is worth having a test drive of new software. Make sure it does do exactly what it says on the tin! Also, if training is given make sure you see how long this is offered for. Look for how support is offered and what on-going support is like. Even if you are happy with your payroll, remember to keep looking around on a regular basis and see what new innovations are happening to help you keep paying the UK!

The payroll industry is one of the most undervalued functions in the UK. Time and time again they keep the UK paid with little recognition. It is usually only when things go wrong – or perceived to go wrong – that anyone really notices them. However, in 2020 things changed: multiple legislation changes were thrown at it – sometimes with little notice – but the payroll industry showed how adaptable it is and continued to keep the UK paid on time. This helped increase the payroll industry profile as everyone started to hear new words like furlough! I have been involved with the Business Application Software Developers' Association (BASDA) for over six years and am also a member of the British Computer Society (BCS). Being part of these organisations allows me to work with other bodies and representatives together with government agencies. I am fortunate that my employer supports my involvement in these groups. There is of course a benefit to Intuit QuickBooks and our customers in that I am up to date on all upcoming changes. Payroll software providers, represented via BASDA and BCS alongside other bodies such as CIPP, have continued to explain to government how the real world works to help influence the guidance and implementation of various pieces of legislation. Sometimes we still have not been able to make as much change as we would want, but at other times we have successfully stopped some additional work being passed onto payroll. Like payroll professionals, payroll software must keep up to date on the latest legislation changes. A lot of legacy payroll systems, particularly desktop, have set release cycles so delayed that Budgets can severely impact delivery of updates. BASDA and BCS pushed heavily to have the information released as early as possible. Again, highlighting real world scenarios, such as mid-March cut-off dates for April payroll payments, and the need for clear updated thresholds and rates for software being able to calculate these correctly. While not ideal we did manage to have the thresholds and rates at the end of February prior to the 11 March budget.
