Drawing inspiration from the pre-schools of Reggio Emilia in northern Italy and the forest schools and nurseries of Denmark, Reflections Nursery and Small School provides a unique setting and educational experience for children aged 3 months to 8 years old. Creativity is very much at the heart of the children’s learning and development at Reflections with the outdoor environment recognised as a significant and essential component of the pupils’ learning journey. This approach sees the children regularly exploring the surrounding woodland and the local beach together as well as (at the appropriate age) tending to the edible garden, feeding the chickens, and cooking in the outdoor pizza oven or on the open fire. Also central to the ethos of Reflections is the steadfast belief that children’s voices should be listened to. By giving their pupils a voice they can develop their own theories and explore them; allowing them to make greater sense of the world. This approach has led to many projects that have developed from the children’s own ideas and observations – something that Reflections are incredibly proud of.

Founded in 2015, Dukes Education is a collection of the UK’s finest nurseries, schools and colleges, as well as summer schools and consultancy services — all united in their passion for nurturing students and helping them thrive.

We are highly selective about which schools and organisations join us. Our family is small and close knit, which we carefully curate to ensure there is harmony amongst our teams.

“In 2015, I founded Dukes Education. The beginning of the Dukes story is simple. I wanted to do something I love, and I love developing young people. I’ve been inspired by many individuals throughout my involvement in finance, the military and sport. Growing up with dyslexia meant I had to find my own way to succeed – but the encouragement and support of my family and school was crucial. I wanted to give others the chance to be successful against the odds and in the face of obstacles.

On every publication, email or letter from Dukes Education, you will see a small crown next to our name. When Dukes began, we decided to use a sign that expressed everything we wanted the company to be. Job Purpose

To be responsible for the day-to-day financial management of the Nursery & Small School with additional responsibilities, as detailed below.

Key Areas of Responsibility

• Overall responsibility for the effective day-to- day management of the income and expenditure of Reflections Nursery & Small School • Effective management and support of the Finance Assistant and overseeing her/his work • Effective liaison with Dukes Education Central Office, including effective reporting to the Finance Director

• Effective maintenance of all relevant logs, records, information and filing systems relating to the Nursery & Small School

Office, respecting Reflections’ confidentiality policy at all times

• Contribute to the overall ethos, work, aims and values of the Nursery & Small School

• Respectful communication with parents,

Financial Duties

• Set up, check and reconcile monthly ransfers of financial information as necessary, including presenting statements and reports as requested for the Directors of Reflections Nurseries and Dukes Education

• Prepare invoices and collection of fees using First Steps / Xero / SmartPay (Direct debit System); ensuring invoices are paid by parents in a prompt manner • Ensure accurate allocation of payments received from parents and visiting professionals including payments received by Tax Free Childcare, Childcare Vouchers, Direct Debit systems, Student Loans, Free Entitlement payments, bank transfers, and any other income • Ensure the effective administration of financial procedures for Nursery & Small School, including ensuring that staff follow procedures and monitor on a regular basis • Budget planning in conjunction with the Director to ensure that the Nursery & Small School make the most effective use of the resources available

• Prepare accounts for auditing

• Pay suppliers’ and contractors’ invoices, including dealing with queries

• Manage petty cash system

• Collect, check and bank monies

• Reconcile bank statements

• Set up and maintain the Free Entitlement Funding

• Be responsible for financial archiving and overseeing that correct practices are in place

• Ensure that the Nursery & Small School conforms to the financial controls and

• To liaise and co-ordinate with West Sussex County Council, all aspects of funding for the setting, to include completing returns and monitoring parental declarations • Liaise with staff, Directors, parents and Governors of Reflections Nursery & Small School regarding financial matters as appropriate

Personnel / Payroll

Additional Duties

• Ensure accurate records relating to pay are kept at all times

• Responsibility for administration of the IT network and upgrading of software and act as Systems Administrator, including liaison with external IT support as appropriate • Liaise with Leaseholders with regard to Leasehold Properties – invoice regularly/ maintain accounts/obtain quotes/etc • Organise and liaise with Financial Assistant with regard to Professional Development events

• Calculate pay and holiday entitlements

• Deal with administration, with regards to pay, relating to appointment, termination and sickness of staff

• Administer all claims for extra payments and deductions including overtime and travel

• Forward correct information to Hazlewoods with regard to hours worked, PAYE issues, new staff, leavers, extra hours, Earning at- tachments, advances, etc.

• Attend appropriate training courses as appropriate

• Comply with policies and procedures relat- ing to child protection, health and safety, security, confidentiality and data protection, reporting concerns to an appropriate person

• Deal with queries of pay

• To operate and liaise various third parties (Hazlewoods/NEST/HMRC) with regard to pay or pension scheme to which the staff belong

• Experience at Bursar, Business Manager, Financial Controller level would be preferable • Experience of running the financial and administrative functions within the Nursery sector

• Ability to work well and self-motivate in a flexible structure and environment

• Ability to work alongside children and respond to parents’ demands and concerns
