Competency

• Technical administration and business systems support to the Estate Services department. Includes office management, reception, PA services, project adminis- tration and assistants, servicing of pan departmental groups, financial administration, organising training, support for maintenance contracts, supporting business systems, including Planon, Oasys (file management), Time sheep and support to the finance department with T1 system, HR inductors and QMS systems.

Line Management Responsibilities

• Manage and develop direct reports, including setting objectives, monitoring per- formance and providing support and guidance as required; ensuring staff have the resources and development required to carry out their responsibilities effectively.

Communication

• To act as the key contact point on all matters relating to the built environment capital portfolio and other tasks on which they are leading; including University staff, consultants, suppliers and contractors and external authorities as necessary. • Update the Director of Estate Services as appropriate, regarding routine progress and any other relevant factors on a regular agreed basis. • To ensure there are appropriate channels of communication established and maintained between the project team members and other staff within CIOSS, other University colleagues and clients; and with external contractors, suppliers and consultants. • Report to and attend the Capital Investment Group, VCEG, Council as required. • Ensure the Capital Development team provide regular update project reports to Council and project monitoring reports to the Capital Investment Group. • Support the Estate Services Department in the production of Estates’ led outline business cases. • Attend CEMG, project monitoring groups, project working groups and other pan departmental groups (acting as Chair as required). • Take a proactive part as a member of the CIOSS Senior Management Team. • Lead the Capital Development team to effectively manage the team and work- load. Manage and review team and business performance. • Support the Office Manager and Planon Systems Co-ordinator to ensure that the Planon FM system and other IT business systems are maintained and developed to meet future business needs of Estate Services.
