THE UCL COMMUNITY

UCL Estates

UCL Estates manages the estate and facilities infrastructure from the strategic to the operational, across property acquisition and management, capital projects, engineering and maintenance, environmental sustainability, safety, security, cleaning and including student residences and central room bookings.

Student Residential Accommodation at UCL

UCL manages 4,074 student rooms across 21 residences, three which provide catered accommodation, with a further 1,900 rooms held under nomination agreements.

KeyWorking Relationships:

Estates team, staff and students within the Residences, the team of Wardens and Vice Wardens, Registry, Communications and Marketing, Welfare Service, external third party providers and UCLU.

Summary of the post: The Business Standards Manager will be responsible for ensuring consistency of service delivery is achieved and best practice is driven throughout the business. Working with the Residence Operations Manager to ensure adherence to contractual obligations. Responsible for the development, implementation and monitoring of operational and business processes. The post holder will be based at Bidborough House: 38-50 Bidborough Street: London: WC1H 9BT and may from time to time be required to work at University College London residential sites. Main Purpose of the post: To ensure that exemplary business standards and processes are maintained across the UCL Residential portfolio. Assisting UCL student accommodation to meet its mission statement “To be the leading provider of student accommodation, within the UK HEI sector, delivering an exceptional student experience.”

MAIN DUTIES & RESPONSIBILITIES

1. To be responsible for the development and ongoing improvement of accommodation standards (including policies, procedures and guidance) to comply with statutory and legal requirements and UCL policy, to drive a consistent service and ensure excellent student experience 2. To be responsible for the development and improvement of new and existing procedures to support the work and goals of the operations, technical services, student experience and central services team and to respond to identified risks and non-conformances 3. To be responsible for the monitoring of compliance to accommodation standards, in conjunction with the Head of Operations for Accommodation 4. To monitor performance of external contractors in conjunction with the Head of Operations for Accommodation and Technical Services Manager 5. To be responsible for conducting accommodation department internal audits and monitoring operational audits; producing audit reports, agreeing corrective and preventative actions with the Accommodation Leadership Team and suggesting recommendations for improvement 6. To be responsible for the audit of external providers, in conjunction with other members of the Accommodation Leadership Team 7. To act as the representative for external audits, including UUK Code of Practice, to ensure the accommodation department is compliant to requirements 8. To monitor all non-conformances relating to internal and external audits, report on these to the Accommodation Leadership Team and ensure close-out within specified timeframes 9. To provide reports to the Accommodation Leadership Team on health & safety performance and audit compliance 10. To act as the Accommodation Department Safety Officer and conduct Safety Committee meetings within the department in conjunction with key members of the accommodation and Estates department 11. To maintain health & safety knowledge and offer advice and guidance to the accommodation department in conjunction with the UCL Safety and Fire Safety team 12. To manage the accommodation department risk register and report bi-monthly to the Estates Risk Review Group

13. To develop, in conjunction with Accommodation Leadership Team, a robust critical incident policy and site emergency procedures to respond to internal and external threats 14. To work with the UCL Resilience team to ensure compliance to UCL Critical Incident policy 15. To support the Head of Communications, Marketing and Student Experience to implement agreed Accommodation Brand Standards within the accommodation department and embed within accommodation standards 16. To identify and develop internal and external best practice across the accommodation department to ensure ongoing efficiencies, innovation and continuous improvement 17. To line manage and support the ALT Administrator to ensure they are responding to the needs of the wider Accommodation Leadership Team 18. To support the ongoing induction, training and competency of all staff within the accommodation department, identify and create new training and competency programmes to ensure staff are compliant to health & safety and accommodation standards 19. To act as the accommodation department representative at Estates Risk Reviews, Estates Safety Steering Groups, Estates External Project Groups and Estates Project Boards as necessary throughout the year, and updating the department on new initiatives and improvements 20. To work with the Accommodation Leadership Team, Estates division and wider institution to raise the profile of student accommodation, the mission statement and better and more efficient ways of working by all parties at accommodation locations 21. To act as a UCL and UCL Accommodation ambassador at external events and conferences, e.g. UUK, CUBO, ASRA etc. 22. To carry out any related activities as required by the business.
