GENERAL INFORMATION

PROVISIONS OF FOOD, BEVERAGE & ALCOHOL o The hotel prohibits any food or beverage product to be brought onto or removed from the premises, excluding a wedding cake from a licensed bakery. o If alcoholic beverages are to be served on the Hotel premises, the Hotel will require that alcohol be provided by the Hotel and that such beverages be dispensed only by Hotel servers and bartenders. o All guests must show proof of identification with a valid driver’s license prior to receiving alcoholic beverages. The Hotel reserves the right to refuse service to any person who may be intoxicated, even that person is a guest in the Hotel. SERVICE CHARGE & SALES TAX o A 24% taxable service charge & applicable sales tax will be added to all food, beverage, room rental, and audio-visual charges. PAYMENT o A non-refundable deposit and a signed Catering Agreement will be due in order to hold a date definite. A full schedule of deposits will be outlined in the Agreement. Final payment will be due three business days prior to the event. All payments may be made by cashier’s check, credit card, or cash. DECORATIONS o All décor brought into Hotel from an outside vendor must be setup and removed from the Hotel the same day as your wedding. Storage fees will apply for any décor left overnight. o We are happy to assist you with the placement of any decorations not being provided by a vendor. o Open flames, confetti & glitter are not permitted. Should either confetti or glitter be used, a minimum of $200 cleaning fee will be added to the master bill. CANCELLATION o In the event of a cancellation, the customer shall be held liable for all losses sustained by the Hotel. All deposits are non-refundable and additional cancellation fees will apply as outlined in the Catering Agreement. PRICING o Unless a specified menu with pricing is contracted, all standard menu prices are subject to change & can be confirmed no more than 90 days before the function date. Confirmation of the menu prices will be made by your Wedding Coordinator.

FREQUENTLY ASKED QUESTIONS

WHEN CAN WE START THE WEDDING RECEPTION? o The space will be reserved for you starting at 1:00PM the day of your reception. Closer to the date, if there are no other events, this time will be extended to include the morning. The start time of the actual reception is entirely your preference. A typical start time ranges from 5:00PM – 7:00PM. WILL THERE BE MORE THAN ONE WEDDING IN THE SAME EVENING? o It is a possibility that more than one wedding can take place in the same evening. If this happens, we have a series of strategic measures we deploy to ensure everyone has a fabulous experience without interruption. HOW DO WE CHOOSE OUR MENU? o We invite you and your family to attend a complimentary menu tasting. After booking your event, review the menu and decide three of each, hors d’oeuvres, salads, entrees, starches and vegetables, you would like to try. I will then work with Chef to schedule a time when we can meet, taste your selections and design the menu. CAN WE RESERVE OVERNIGHT ROOMS FOR OUR GUESTS? o I can set up a room block for you and outline the details in the contract. The number of rooms you choose to block off is up to you, we will work together to decide what is best for your group. DO WE HAVE ANY RESTRICTIONS WITH THE VENDORS WE USE FOR THE EVENT? o You are free to use your choice of vendors; we do require a copy of their Certificate of Liability Insurance prior to the event. Our list of preferred vendors is included with this menu. This list consists of trustworthy companies that provide a high-quality product. HOW MUCH WILL ALL OF THIS COST? o Each wedding is different, but the base of the expense begins with the food and beverage minimum. This is the minimum amount you must spend on food and hosted beverage and is based on the amount of space you will use for the reception. Any and all food and beverage you order will go towards this minimum (with the exception of cash bar). Your actual cost is dependent on your selections and attendance. The food and beverage minimum does not include a service charge of 24 percent and sales tax, which is 10.75 percent. WHEN IS PAYMENT DUE? o The food and beverage minimum specified in your contract is divided into four payments, with the first due at the time of contract signing. The following three payments are divided up in the remaining time before the event. WHAT IS INCLUDED? o Included in your wedding reception at no charge to you: tables and chairs, full length table cloths and napkins in your choice of white or black, all linens for our tables, any staging you might need, cake cutting with service or display, custom sized dance floor, plus all set up and me, your Certified Marriott Wedding Coordinator.

RENTAL FEES o All rentals will be subject to a 24% taxable service charge and $150 set -up fee. RENTAL PAYMENT

o The total amount due for rentals will be split up into payments that correspond with your deposit schedule listed in your contract. If you have already signed your contract we will put together an addendum to align the deposits as needed. FINAL COUNT o Your final count for your rentals will be due to your wedding coordinator 30 business days prior to your event. At this time, you are locked into your count. If you are to increase this number after this date, then your items will be subject to availability and stock items so we suggest shooting for the higher end of your estimated count to be sure you have the correct amount. VIEWING ITEMS o We will set up a time to meet at the hotel or in person at The Event Experience showroom to showcase colors for your specialty rental items. You will work directly with your wedding coordinator to schedule a time and desired location. SET-UP TIME o If you contract your rental items at the time of signing the contract, then you will be guaranteed your set up time for your rentals. Set up time will not be guaranteed if you contract your rental items at a later date. If you choose not to rent your items from us then we can only guarantee a set up time of 1pm.

THE PLANNING PROCESS

CONTRACT o Once you have given me the signed contract and the first deposit we are good to go. At that time the space is yours, the room block is in the system and we need to start thinking about all of the details of the reception. TASTING o We offer a complimentary menu tasting, for you to be able to make the best decision possible regarding your menu for your event. Review the menu and decide three of each, hors d’oeuvres, salads, entrees, starches and vegetables, you would like to try. I will then work with Chef to schedule a time when we can meet, taste your selections and design the menu. FOUR TO SIX WEEKS OUT o This is a great time for us to get together and go over your Finalization Form I gave to you at the tasting. Once you have it filled out, or mostly filled out, it is a good idea for us to sit down together and go over every line and detail to make sure I have a complete understanding of your vision. Once I have all of the information I need I will then create a Banquet Event Order. This is a very important document that gets distributed throughout the hotel and also goes to you to make sure everything is correct. TWO WEEKS OUT o We will want to especially stay in good contact during this time. You will probably be putting together a lot of your final details and may have a lot of questions for me. We will want to check up with each other at this time to make sure everything is going smoothly and everyone feels comfortable. WEDDING WEEK o This is the best time for you to drop off any of the items I need to set the room with. Any centerpiece or decoration item, place cards, toasting flutes……everything that will be in the room the night of your Wedding. THREE DAYS OUT o This is the day your final numbers are due to me. That is, we need a count of everyone that will share the evening with you and all of your final orders of food and beverage. After this day you can go up with your numbers but you cannot go down. At this time I will give you the final estimated expense. ONE DAY OUT o The final payment of your estimated expense is due. WEDDING DAY o You are able to completely relax because we have taken care of everything. You are able to enter the space with everything completely done and enjoy this day that you have put forth so much effort to plan.

DETAILS

PARKING The Hotel offers valet & self-parking options. Parking in the connected parking garage is owned and operated by the Town of Normal. The fees are $1 per hour with a maximum of $6 per day. Valet Parking is $20 per day.

GUEST COUNT Your final guarantee of attendance is due 72 business hours prior to the event. At that point, it is possible to increase the guest count number but not reduce the number below your final guaranteed count.

MENU TASTING Menu tastings are held bi-annually and are available for all contracted weddings. Please ask your Certified Wedding Coordinator for more details.
